How to Set Up Meta Business Manager

Redaktion HeroContent

Meta Business Manager is the central platform that allows businesses to manage all their Meta assets — Facebook Pages, Instagram accounts, ad accounts, pixels, and team members — from a single, organized dashboard. If you are running social media for a business, working with a marketing team, or planning to run ads on Facebook or Instagram, setting up Business Manager is the first step that makes everything else possible.

This guide walks you through the complete setup process from scratch, explains what each section does, and helps you avoid the most common setup mistakes.

Why It Matters

Without Business Manager, businesses are typically left juggling shared passwords, personal Facebook accounts with admin access to Pages, and scattered ad accounts with no clear ownership. This creates security vulnerabilities, makes offboarding team members messy, and can cause serious problems if anyone loses access to their personal Facebook account.

Business Manager solves all of this. It separates your personal Facebook account from your business operations, gives you a clear permission system for every team member and agency, and provides a centralized view of all your Meta advertising activity. For any business that takes social media seriously, it is an essential tool.

What You Need Before You Start

You need a personal Facebook account to serve as the Business Manager administrator. This does not make your personal profile public within Business Manager — it is simply used for identity verification. You should also have your business name, email address, and website ready. Optionally, have your Facebook Page login and Instagram account credentials available, as you will be adding them during setup.

Step-by-Step Guide

Step 1: Go to business.facebook.com

Open a web browser and go to business.facebook.com. Click Create account in the top right corner. You will be prompted to log in with your personal Facebook account if you are not already logged in.

Step 2: Fill In Your Business Details

A setup dialog will appear asking for:

  • Business name: Use your official business name as it appears in legal documents or on your website.
  • Your name: This is pre-filled from your Facebook account.
  • Business email address: Use your work email, not a personal one. This will be used for Business Manager notifications and verification.

Click Submit when done.

Step 3: Verify Your Email

Meta will send a verification email to the address you provided. Open your email and click the verification link. This confirms that you own the email address associated with the Business Manager account.

Step 4: Open Business Settings

Once you are inside Business Manager, click the gear icon in the left sidebar to open Business Settings. This is the control center for everything you will add to your Business Manager.

Step 5: Add Your Facebook Page

In Business Settings, click Pages under the Accounts section. Click Add and choose Add a Page. Search for your Page by name or Facebook URL. Select it and click Add Page. You must be an Admin of the Page to add it this way. If someone else owns the Page, use Request access instead.

Step 6: Add Your Instagram Account

In Business Settings, click Instagram accounts under Accounts. Click Add and choose Add an Instagram account. Enter your Instagram username and password and log in. Follow any two-factor authentication prompts. Once logged in, confirm the authorization to connect the account to your Business Manager.

Step 7: Create or Add an Ad Account

To run ads, you need an ad account. In Business Settings, click Ad accounts under Accounts. Click Add and choose Create a new ad account if you do not have one, or Add an ad account if you already have one. Follow the prompts to set up the ad account, including selecting the currency and time zone. Note that the currency and time zone of an ad account cannot be changed after creation.

Step 8: Add Team Members

Go to Business Settings → People. Click Add to invite team members. Enter their email address and select their role — Admin for full Business Manager control, or Employee for standard access. After the invitation is sent, assign them to specific assets: their Facebook Page, Instagram account, ad account, or other tools. The person will receive an email invitation and must accept it before they can access anything.

Step 9: Install and Connect Meta Pixel (Optional but Recommended)

If you have a website and plan to run conversion-focused ads, set up your Meta Pixel now. In Business Settings, go to Data sourcesPixelsAdd. Name your pixel and add your website URL. Follow the installation instructions to add the pixel code to your site (or use a partner integration like Shopify or WordPress).

Step 10: Review Your Business Manager Dashboard

Return to the main Business Manager dashboard. You should now see your Page, Instagram account, and ad account listed. Spend a few minutes familiarizing yourself with the navigation — the left sidebar contains quick links to all your assets, and the main area shows recent activity and performance summaries.

Common Issues and How to Fix Them

I cannot add my Facebook Page — it says I am not an admin. Make sure you are logged in to Facebook with the account that is an Admin of the Page. If someone else is the Page admin, ask them to add you as an admin first, then try again.

My email verification link expired. Go to Business Settings → Business info and look for an option to resend the verification email. If this is not available, check your spam folder for the original email first.

I accidentally created two Business Managers. This happens if you clicked "Create account" twice. You can have multiple Business Managers, but you should identify which one you want to use and move your assets there. Contact Meta Business Support to merge or delete the unwanted one.

I cannot add the ad account — it says it is already claimed. Each ad account can only belong to one Business Manager. If your ad account was previously claimed by another Business Manager (for example, if an agency created it), you will need to transfer ownership or have the current owner remove it first.

Tips to Get the Most Out of Business Manager

Set up two admins from the start. Having a backup admin prevents disaster if one admin loses access to their Facebook account. Add a second trusted person as a Business Manager admin early in the setup process.

Use descriptive naming for all assets. When you create ad accounts and pixels, give them clear names that indicate which business, website, or project they belong to. Naming them "Ad account 1" or "Pixel" becomes confusing quickly when you are managing multiple brands.

Grant the minimum necessary permissions. Not everyone needs admin access. Use Business Manager's role system to give team members access to only the assets and tasks they need. This reduces security risk and keeps your assets better organized.

Bookmark business.facebook.com and business.facebook.com/latest/home. These two URLs — Business Manager and Meta Business Suite — are the tools you will use most often. Having them bookmarked saves time and keeps your workflow efficient.

Frequently Asked Questions

Is Meta Business Manager free to use?

Yes. Creating and using Meta Business Manager is completely free. You only spend money when you run paid ad campaigns through your connected ad account.

Can I manage multiple businesses in one Business Manager?

Yes, to an extent. You can manage multiple Facebook Pages and Instagram accounts within a single Business Manager. However, Meta recommends creating separate Business Managers for truly separate businesses, especially if different teams or financial entities are involved.

Do I need a Business Manager if I only manage one Page?

Not strictly, but it is still recommended. Business Manager gives you better security, cleaner access management, and access to advanced advertising and analytics tools that are not available when managing a Page directly through a personal Facebook account.

What is the difference between Meta Business Manager and Meta Business Suite?

Business Manager (business.facebook.com) is the administrative hub where you manage assets, permissions, and settings. Meta Business Suite (business.facebook.com/latest/home) is the day-to-day management tool where you create posts, reply to messages, and view analytics. Both are part of the same ecosystem, and you will use both regularly.
